Quick answer
- Compare Xero, QuickBooks, Sage and FreeAgent against your business type and everyday bookkeeping needs.
- Check the exact plan supports VAT or Making Tax Digital for Income Tax where required.
- Free options exist, but eligibility rules and limits on features or support matter.
- Try invoicing, expense capture and bank reconciliation, and check your accountant can work in the software.
What is the best accounting software for a UK small business?
There is no single best accounting software for every UK small business. Choose by business type, whether you need Making Tax Digital (MTD), VAT, payroll or bank feeds, and whether your accountant works in it.
The mainstream UK options are Xero, QuickBooks, Sage and FreeAgent. Each offers a different mix of features and plans. The best accounting software for small business owners is the one that handles their actual records without adding unnecessary work.
Start with a normal month in your business. How many invoices do you send? Do you buy stock, employ staff or receive overseas payments? An accounting package should make those tasks easier and give you figures you can check.
Accounting software compared
Use this comparison to build a shortlist. Check the exact plan and any extra products you need before signing up.
| Software | Often suits | Worth knowing |
|---|---|---|
| Xero | Limited companies and growing businesses | Large app marketplace. Check which integrations and features your chosen plan includes. |
| QuickBooks | Small businesses and sole traders wanting invoicing and expenses in one place | Check the plan supports your business structure and the tax submissions you need. |
| Sage | UK businesses that want an established UK vendor | Payroll options are available. Confirm which product and plan cover your requirements. |
| FreeAgent | Sole traders, freelancers, small limited companies and landlords | The standard version is free with an eligible NatWest Group business account, subject to the account conditions below. |
| Spreadsheets plus bridging software | Businesses with very simple records | You still need MTD-compatible software to submit where MTD applies, with digital links from your records. |
Bank feeds import transactions, but they do not explain every payment or check every receipt. You still need to categorise entries, resolve duplicates and reconcile the bank balance.
Is there free accounting software in the UK?
Yes. Free accounting software in the UK includes bank account offers and free plans with feature limits. Check the conditions as carefully as you would for a paid plan.
FreeAgent's standard version is free for business current account holders with NatWest, Royal Bank of Scotland or Ulster Bank while they keep the account. With Mettle, you must make at least one transaction a month to qualify.
FreeAgent: free accounting software eligibility
HMRC's GOV.UK software finder lists MTD-compatible products. Some have free versions, often with limits. Free plans can limit invoices, users, VAT features or support. Confirm that a free plan covers the submissions you need, rather than assuming every version of a product is compatible.
A free trial ends after a set period. A free plan may continue, subject to its terms. Check what happens to your records if you change plans or stop meeting an account condition.
Accounting software for sole traders
Look for invoicing, expense capture, a bank feed and a useful Self Assessment estimate. If you are self employed, check MTD for Income Tax readiness for the exact product you choose.
MTD for Income Tax applies to sole traders and landlords with qualifying income over £50,000 from 6 April 2026, over £30,000 from 6 April 2027 and over £20,000 from 6 April 2028, unless exempt.
Qualifying income is combined gross income from self employment and property before expenses. The thresholds use income from 2024/25, 2025/26 and 2026/27 respectively. A tax estimate in your software is only as reliable as the records and other income entered.
Making Tax Digital: what your software must do
All VAT-registered businesses must keep digital records and submit VAT returns through MTD-compatible software, unless exempt. Sole traders and landlords within MTD for Income Tax must also keep digital records and use compatible software for quarterly updates and their tax return.
Check VAT and Income Tax compatibility separately. An existing VAT connection does not prove that your plan can send Income Tax updates.
Spreadsheets can remain part of your records if compatible bridging software connects them to HMRC. Keep digital links between systems. Copying and pasting totals is not a digital link.

How to choose: a 6-point checklist
- Match your business type. Check support for sole trader, limited company or property records, including separate businesses where needed.
- Check tax compatibility. Confirm the exact plan supports MTD for VAT or Income Tax and the filings you need.
- Test everyday tasks. Try an invoice, a receipt upload and a bank reconciliation using realistic transactions.
- Check bank feeds and payroll. Confirm your bank is supported and whether payroll or other integrations need separate products.
- Agree access with your accountant. Check how they review records, correct entries and prepare submissions without sharing your password.
- Review the full commitment. Compare plan limits, support, extra features and export options against your budget before moving records.
When comparing bookkeeping software for small business records, include the time needed to use it. A simple system that you keep up to date is more useful than extra features you never open.

Frequently asked questions
What accounting software do most UK small businesses use?
Mainstream UK options include Xero, QuickBooks, Sage and FreeAgent. The right choice depends on your business type, records and tax obligations. There is no single package that suits every small business.
Is there free accounting software for sole traders?
Yes. Some products offer free plans with limits. FreeAgent's standard version is free with eligible NatWest, Royal Bank of Scotland or Ulster Bank business current accounts while you keep the account, or with Mettle if you make at least one transaction a month. Check the current eligibility terms and features.
Do I need accounting software for Making Tax Digital?
Unless exempt, businesses within Making Tax Digital must keep digital records and use compatible software for the relevant submissions. Check VAT and Income Tax compatibility separately. A bookkeeping plan that supports one does not necessarily support the other.
Can I use spreadsheets?
Yes, spreadsheets can hold simple bookkeeping records. If Making Tax Digital applies, you also need compatible bridging software and digital links between the records and submission software. Copying and pasting figures does not meet the digital link requirement.
Which software do accountants prefer?
Accountants work with different packages. Ask which systems your accountant supports and whether they can access your records, review transactions and prepare the relevant filings. Choose a package that works for both your business and your accountant.
